An AI Property Assistant That Takes Action: Payments, Repairs, Reminders and Staff from the Chat

Until now, HomeManager's assistant could tell you who hadn't paid. From today it can also remind them, record the payment when it lands, open the repair ticket and invite the new caretaker. Every action is prepared first and runs only when you press Confirm. Here is exactly how it works, and what it will not do.

What changed

An AI property assistant used to mean one thing: a chat box that answers questions from your data. "Who is late?" "What did I collect in September?" Useful, but every answer ended with you leaving the chat to go and do the thing.

HomeManager's assistant now does the thing. You type an instruction in plain language, in English, French, Portuguese, Swahili or Somali. The assistant works out what you mean, checks it against your actual records, and shows you a card: what it is about to do, to whom, for how much. You press Confirm. It runs, and you get a one-line report of what happened.

That is the whole model. The assistant proposes. You confirm. Nothing is written to your account before that press.

Already on HomeManager? Open the assistant and type "remind everyone who is late". You will see the card before anything is sent.

How an action works

Here is a Monday morning at a twelve-unit building, with the assistant doing the follow-up.

Who hasn't paid October rent?
3 tenants have October balances:

James K. — Unit 4B — KES 20,000
Mary W. — Unit 7A — KES 15,000
Peter N. — Unit 2C — KES 18,000

Total outstanding: KES 53,000
Remind them
I've prepared email reminders for James K. and Peter N. Mary W. has no email address on file, so she is left out. Press Confirm to send.
Waiting for your confirmation

Email a payment reminder to 2 tenants with October balances.

Tenants
James K. (4B), Peter N. (2C)
Outstanding
KES 38,000
Skipped
Mary W. (7A): no email on file
ConfirmCancel
Done. Reminders emailed to 2 tenants.
James just paid 20,000 by M-Pesa, record it
Recording KES 20,000 against James K.'s October invoice, which clears it. Press Confirm.
Done

Recorded KES 20,000 (M-Pesa) against INV-202610-0004 for James K. Balance: KES 0.

Notice three things. The assistant told you who it could not reach and why, instead of claiming success. It showed the invoice number before touching it. And the second card went green only after Confirm.

The twenty actions

Every action below follows the same propose-then-confirm pattern. Reminders and notices go by email. Payments are recorded against the tenant's invoice, the same way the Payments screen does it.

Money

  • Record a payment against the right invoice, by amount, tenant and method. "Record Amina's KES 12,000 bank transfer."
  • Record an expense with its category and property. "Add a KES 3,500 plumbing expense to Azure Home."
  • Generate invoices for the units due this cycle, with a preview of how many and for whom.
  • Change rent on a unit from a date you name.
  • Set late fees on a property, or make it follow the organization's rule again.

Tenants

  • Add a tenant to a unit with a move-in date. The welcome email and first invoice follow the usual rules.
  • Move a tenant out, which frees the unit, voids unpaid invoices and ends portal access. The card says all of that before you confirm.
  • Send a payment reminder to one tenant, or remind every late tenant at once, with a count of who will be emailed.

Repairs and readings

  • Open a maintenance ticket: "The kitchen tap in 05 is dripping." The assistant finds the unit and the tenant.
  • Update a ticket: change its status, add a comment, close it.
  • Enter a meter reading, and the water charge is calculated at the property's rate and added to the invoice.

Communication

  • Create a notice for a property or the whole portfolio, emailed to the tenants it concerns.
  • Email tenants a message of your own, with the recipient count shown first.

Properties

  • Add a property, add a unit, or create many units at once ("units 1 to 12 at KES 12,000"), within what your plan allows.

Team

  • Invite a team member with a role, such as a caretaker on one property. They get a link to set their password.
  • Assign a role to an existing member, or remove their access to a property.
  • Ask "what is my role?" or "who is on my team?" and get the real answer from your settings, not a guess.

Three mornings it is built for

The late-rent morning

It is the sixth of the month. You ask who is late, you say "remind them", you confirm. Two minutes. As payments land during the day you say "Peter paid 18,000 by M-Pesa" and confirm each one. By evening the arrears list is honest and every tenant who paid has a receipt.

The caretaker's water round

Your caretaker walks the building with a phone. "Reading for A1 is 1,284. A2 is 2,031." Each reading becomes a card with the previous reading, the units used and the charge, and they confirm it. They cannot record rent or change tenants, because their role does not allow it, and the assistant simply does not offer those actions to them.

The new caretaker

You have hired someone for Hillside Court. "Invite Tendai Moyo, tendai@example.com, as caretaker on Hillside." The card shows the name, the role and the property. You confirm, and the invitation is on its way. The same rules as the Team screen apply: you cannot hand out rights you do not hold yourself, and nobody can change the account owner's role from the chat.

What keeps it safe

  • Confirmation, always. The assistant never writes on its own. One proposal at a time; a new one replaces the last.
  • Fifteen minutes. A proposal you leave alone expires. Nothing half-done lingers.
  • Your role, your reach. Each person sees only the actions their role allows, and only on the properties they have access to. That is checked again at the moment of confirmation, not just when the card was made.
  • The audit trail. Every confirmed action appears in your audit log marked as done via the AI assistant, with the before and after.
  • Honest reports. If one of three reminders could not be sent, the report says two were sent and names who was skipped and why.

The assistant still does not predict who will default, set rent prices or screen tenants. It works with the data you have entered, and it leaves the judgment calls to you.

Who this is for

Landlords anywhere in Africa who manage from a phone. Owners abroad who want to handle the week's admin in one chat, in their own language. Agencies whose caretakers do the rounds and whose accountants record the money, each with the right permissions. Payments collect automatically by M-Pesa in Kenya and by card or mobile money through Pesapal where it operates; everywhere else, the payment that arrives by bank or cash is recorded with one sentence and a Confirm.

Try it

  1. Start a free trial, or sign in if you already have HomeManager.
  2. Open the assistant from the menu, on web or on the Android app.
  3. Type "What is my role?" to see what you can do, then try "Who is late?" and "Remind them".
  4. Press Confirm when the card is right. Cancel when it is not.

On WhatsApp the assistant answers questions only; the actions, with their Confirm step, are in the apps.

Ask it anything. Then tell it what to do.

HomeManager's AI property assistant answers from your real data and carries out the actions you confirm. Included on every plan, in five languages, on web and Android.

Frequently asked questions

Can an AI property assistant take actions, or only answer questions?

HomeManager's does both. It answers from your data, and when you give it an instruction it prepares the action, shows a card with exactly what will change, and runs it only when you press Confirm.

Does it change my data without asking?

No. Nothing is written until you press Confirm. Cancel, or wait 15 minutes, and the proposal expires with nothing changed. Every confirmed action is in the audit trail.

Can a caretaker use it to record rent?

No. Each person gets only the actions their role allows. A caretaker can open tickets and enter readings; money needs a role with that permission.

Does it work on WhatsApp and mobile?

Web and Android: questions and actions. WhatsApp: questions only.
