Grace period: how long?
Rent is usually due on the first or fifth of the month. A grace period of three to five days is common, long enough for a late salary and short enough to keep rent on time. Write the due date and the last day of grace separately in the lease, so there is no argument about which day the fee starts.
What is a fair amount?
Two approaches are common: a flat fee, such as KES 500 to KES 1,000, or a one-off percentage of the overdue rent, commonly 5 to 10 percent. Avoid fees that grow daily or compound. A fee out of proportion to your real loss can be challenged, so keep it modest and in writing. Also avoid charging a fee the lease does not mention. A fee the tenant never agreed to is hard to defend.
How to set up late fees, step by step
- Put the due date, grace period and fee into the tenancy agreement.
- Explain the clause at signing and get the tenant's signature on it.
- Send a reminder before the due date, so the first message is not a penalty notice.
- Apply the fee only after the grace period ends, and only once per late month.
- Show the fee as its own line, so the tenant can see what it is.
- Review it each year. If late payment is rare, a smaller fee may be enough.
Worked example
Rent is KES 20,000, due on the 1st, with a grace period to the 5th and a late fee of 5 percent, which is KES 1,000. Tenant A pays on the 4th and owes nothing extra. Tenant B pays on the 9th. The grace period ended on the 5th, so a KES 1,000 fee applies and Tenant B's balance is KES 21,000.
If you collect for 12 units and two are late each month, the fee does two jobs. It discourages lateness, and it recovers a small part of the cost of chasing, around KES 2,000 a month on this building. It should never become income you rely on. Success is fewer late tenants.
How HomeManager handles it
HomeManager invoices rent monthly, sends reminders by email, and applies late fees after a grace period. You set the rule once for the organization, and a property can follow it or have its own. SMS reminders are available in some countries through prepaid credits.
When a payment arrives, by M-Pesa in Kenya or by card and mobile money through Pesapal, it is recorded against the invoice. Tenants with a balance can be reminded by asking the AI assistant to "remind everyone who is late". It shows who will be emailed and who is skipped, for example someone with no email address on file, and sends only when you press Confirm. The assistant can also set late fees for a property the same way.
Actions you confirm through the assistant are recorded in the audit trail as done via the AI assistant.
Apply the same rule to every tenant.
HomeManager reminds, waits out the grace period and applies the fee, so you are not the one chasing.

How many days grace period should a landlord give in Kenya?
Three to five days is common. Write the due date and the last day of grace into the lease separately. HomeManager applies the late fee only after the grace period you set has ended.
How much late fee can a landlord charge in Kenya?
There is no single figure. A flat KES 500 to 1,000, or a one-off 5 to 10 percent of the overdue rent, is typical. Keep it modest, in the lease and not compounding, since a fee out of proportion to your loss can be challenged.
Can I charge a late fee if it is not in the tenancy agreement?
It is risky. A fee the tenant never agreed to is hard to defend. Add a late fee clause to new leases and renewals, and explain it at signing.
Does HomeManager charge late fees automatically?
Yes. HomeManager applies late fees after the grace period you set, using an organization-wide rule that individual properties can override. It also emails reminders to tenants with balances.
